We are actively seeking an experienced, proven Property Administrator to support our Charlotte, North Carolina team.

This is a full-time position in our Charlotte, North Carolina office which can become hybrid after training. Candidate must live within a reasonable daily commute to the Charlotte, NC office.

Qualifications

The Property Administrator is responsible for supporting tenant relationships, property operations, budgeting and reporting. Under the direction and guidance of the Property Manager(s), this position will meet all Commonwealth Commercial Partners standards; assist and proactively collaborate with other CCP team members as required and successfully completes all assigned projects as directed and required from time to time.

Duties include but are not limited to the following:

· Assist with administrative functions related to the general operation of the office.

· Assist in answering all phone calls promptly, processing tenant work orders, vendor communications, and electronic invoice processing.

· Provide the highest possible level of customer service to tenants.

· Under the direction of Property Management, coordinate the administration of vendor service contracts and request for proposal process.

· Assist with regular inspections of the properties and grounds to ensure that the appearance and operation of the company’s properties meet company standards.

· Assist with the preparation of annual budgets.

· Assist with coordination of move-in process to tenant’s satisfaction.

· Maintain contact lists for tenants, vendors, building staff, and property management.

· Update building logs as necessary to properly track and record activity on the property.

· Work closely with Property Manager, Accounting and Lease Administration to prepare required recurring monthly reports, including but not limited to delinquency updates, rent increase schedules, and variance explanations.

· Under the direction of Property Management, administer the coordination of the Accounts Receivable process including but not limited to making collections calls, updating databases, and reporting.

· Assist Lease Administration and Property Managers in annual reconciliation of Common Area Maintenance (CAM) expenses.

· Assist with Lease Abstracting from time to time as needed.

· Perform any additional duties that might be assigned by the Property Manager.

· Organizational skills and the ability to maintain an orderly work area are critical.

Required Skills

· Proficiency in Microsoft Office Package (Outlook, Word, Excel, OneNote).

· Basic understanding of the following: CAM, insurance, real estate taxes and building systems.

· Ability to multi-task and prioritize. Time management and organizational skills within tight deadlines.

· Problem solver and willingness to think outside the box to achieve a desired result.

· Well-developed analytical and interpersonal and communication (both written and verbal) skills.

· Demonstrated commitment to customer service and a track record of exceeding customer expectations.

· Capability to adapt to new procedures as necessary in a thriving workplace.

· Valid drivers’ license and own transportation.

Required Experience

· High School diploma required. Associate or bachelor’s Degree preferred.

· Two to three years of prior administrative experience is required.

· Microsoft Office Programs proficiency required.

Job Type: Full-time

Pay: Up to $50,000.00 per year
