Project Administrative Assistant

The purpose of this position is to assist the Project Management/Development Team with the daily management, coordination, file organization and successful completion of construction projects to meet time and cost objectives for our clients and investors.

Main Job Tasks and Responsibilities
• Assist the President and Project Manager(s) on administrative matters related to the company’s daily activities
• Organize and schedule meetings and appointments
• Take accurate minutes of meetings / provide meeting recaps
• Maintain and monitor social media presence • Prepare marketing materials and presentations as necessary
• Maintain contact lists including clients and vendors
• Maintain company filing system on Dropbox, including project specific folders and items
• Update weekly project tracker and project schedules
• Assist with vendor coordination, pricing and implementation of certain project related items
• Participate in regularly scheduled project staff meetings as required
• Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
• Additional duties as may be required

Qualifications

Education and Experience
• Minimum 2 Year Associate degree; college degree preferred
• Minimum 2 years of job experience in office setting
• Previous commercial real estate experience is desired, but not required
• Mid-level competency with Microsoft Office products, particularly Word, Excel and Outlook.
• Basic knowledge of MAC-Apple computer
• Basic knowledge of Dropbox and Zoom
