Assistant Property Manager

Role Summary
The Assistant Property Manager is highly involved with all aspects of assisting Property Managers (PMs), the Director of Property Management, and the Asset Manager with the management of the commercial portfolio and is tasked with delivering the highest service possible to our owners and tenants. The scope of the job includes tenant relations, property maintenance coordination and physical inspections, collections, enforcing lease provisions, maintaining lease files, and various administrative tasks to include assisting the Director of Property Management.
Job Responsibilities
- Provide comprehensive support to Property Managers, owners, and tenants
- Support the Property Manager as they monitor, coordinate, and oversee the interior and exterior property maintenance of PM’s property assignments, as requested and as necessary
- Build and maintain tenant relationships through direct contact, responsiveness, and superb customer service
- Issue, manage, track, and reconcile all Work Orders
- Assist with accounts receivables including rents, accruals, payment of expenses, common area maintenance expenses, true-ups, reconciliations, compliance of Lease terms and all related preparation of documents
- Prepare service requests for Proposals and Agreements
- Perform periodic inspections with the Property Manager
- Maintain accurate information of all tenants and vendors, including emergency contact and after hours contact information
- Assist PMs in the preparation of annual property budgets and quarterly reports
- Prepare contracts and attach scopes of work
- Compose routine correspondence as necessary or as requested
- File leases, correspondence, and other records in appropriate hard files (where necessary) as well as electronic files
- Track insurance certificates for tenants and vendors and request new or corrected certificates, as needed
- Assist in the preparation and compilation of Estoppels and SNDAs as required in the refinancing and sale of portfolio assets
- Track tenant sales numbers per lease agreements and remit invoices to tenants
- Assist in all other duties associated with the day-to-day operation of a commercial real estate portfolio
Qualifications
Minimum Qualifications

- Minimum two years of experience and proficiency in Yardi property management software
- Real estate license for NC and SC (or in progress) preferred
- Two to three years of related experience in commercial property management and financial reporting preferred
- Excellent written and verbal communication skills
- Strong organizational skills and ability to complete work with critical time schedules
- Ability to read and interpret contracts
- Proficiency in basic computer applications, such as Microsoft Office software products
- Responsive, friendly, positive attitude towards owners, tenants, vendors, and coworkers
